The Sales Coordinator is responsible for effectively supporting the sales and operations teams’ efforts and to provide general administrative assistance for our Redmond, WA office. S/He is expected to demonstrate on a daily basis a sincere desire to serve our customers and the ability to work with co-workers in a cooperative manner. The Sales Coordinator is also expected to meet performance standards set by management and to comply with all company policies and procedures. S/He reports directly to the Sales Administration Manager.

KEY PERFORMANCE INDICATORS

  • Meet all reporting deadlines.
  • Produce error free documents that go to our clients.
  • Respond to all customer requests within 24 hours of receipt.
  • Job Cost 900 labor hours per calendar year to project specific and service team related tasks.

ACCOUNTABILITY DESCRIPTION

The Sales Coordinator possessing the listed knowledge, skills, and abilities is accountable for the following:

  • Administrative coordination of the Service Maintenance and Service Special Projects sales efforts to include CRM tracking and reporting of selling cycle, proposal preparation and the initial step in processing customer contract.
  • Coordinate with Service Operations to manage all customer reporting requirements and track project handoffs.
  • Take direction and provide assistance as needed to Sales Administration Manager.
  • Provide administrative assistance as requested by Area Business Manager.
  • Provide administrative assistance as needed for other sales teams.
  • Provide administrative assistance for the Area Operations Manager.
  • Act as the main point of contact for visitors in person or over the phone and take the lead on ordering/restocking office/janitorial supplies for the office.
  • Provide assistance as needed to the Customer Experience Manager.
  • Provide assistance to Maintenance Contract Administration to assure the effective processing and set up maintenance contracts, addenda, adds, upgrades, deducts and cancellations.
  • As directed by Sales Administration Manager, collaborate with other departments and Sales Coordinators to drive efficiencies in processes.
  • Be proactive in calculating and delivering service metrics to management.
  • Coordinate marketing efforts developed by Redmond office team by working with corporate marketing team.
  • Coordinate customer requests for contract documents, disputes, and any other customer issue that is received via phone calls, emails, etc.
  • Take on special projects assigned by Sales Administration Manager, Area Business Manager, Area Operations Manager and Service Special Project Lead for the Redmond office.
  • Track service team project leads and coordinate the lead recognition program.
  • Provide general sales coordination assistance for the maintenance sales team to include research, information gathering, and other account management requirements lead by the Service Account Manager.
  • Provide general sales coordination assistance for the Service Special Projects team to include all project tracking, permitting, generating submittals and printing job documentation, project management tasks, acquiring vendor quotes, pre-qualifying leads, tracking project close-outs and handoff of information back to our Service Maintenance group and Contract Administration group.
  • Increase skills by studying HVAC design.
  • Understand, accept and support MacDonald-Miller’s Operating Guidelines, Operational Beliefs, and Customer Commitment.

QUALIFICATION REQUIREMENTS

The candidate must possess the following knowledge, skill, and abilities:

  • A college or other technical degree is preferred.
  • Minimum two years’ customer service experience preferred.
  • Proficient in using Adobe Acrobat and Microsoft Office products, including Outlook, Excel, Word, and PowerPoint.
  • Possess good verbal, written, analytical, persuasion, interpersonal, and listening skills.
  • Ability to effectively and calmly work in a sometimes stressful, fast-paced, and deadline-driven environment.
  • Above average organizational skills, detail oriented and the ability to accurately and calmly handle multiple priorities.
  • Ability to work closely with a variety of different personalities under minimum supervision.
  • Possess a positive "no problem" service mentality.
  • Ability to consistently set goals and meet deadlines and adapt to flexible responsibilities.
  • Ability to work independently or in a team atmosphere.
  • Ability to interact with customers, field staff, management and office personnel that builds constructive and effective relationships.
  • Knowledge of the mechanical industry is preferred.
  • Reasonable understanding of the HVAC, plumbing systems, and terminology is a plus.
  • Strong technical/mechanical aptitude is a plus.
  • History of good employment attendance and driving record.
